Guidelines for exhibitors at the Cycle Tourism Show 2027

If you need to send us the graphic files for your stand (which we will print and install), the technical specifications and templates will be emailed to you about six weeks before the Show.
If you are taking part as a seller in the workshop on Friday 19 March, in January you will receive an email from Tourist Trend, our organisational partner, with all the operational details. The agenda will open in early February.
Exhibitor passes will be available for download from 1 March.
4 passes for each desk in the stand / for outdoor areas, 4 passes every 9 m².
Car parking passes will be available for download from 1 March.
B2B connect platform
The Cycle Tourism Show B2B Connect platform: your network, all year round.
The Show lasts three days, but business relationships last much longer. That is why we created b2b.cycletourismshow.com, the digital platform where you can find destinations, tour operators, DMCs, accommodation facilities and service providers from all over Europe. You can contact them, chat and schedule meetings before, during and after the Show.

Starting from 1 February, access is reserved for exhibitors. From 1 March, the platform will also open to non-exhibitors.
The language of the platform is English, because it connects operators from many different countries. Your profile should therefore be filled in in English: this is how international buyers and partners find and evaluate you. A profile in Italian risks going unnoticed. In conversations, however, you are free: with other Italian operators you can easily write in Italian.
Loading and unloading & parking
From 18 to 21 March, only during set-up and Show hours, a car and van park reserved for exhibitors is available (GATE N of Fiera di Padova / Padova Hall – Via Rismondo), while spaces last. The car park is about 150 metres from the halls. During Show hours, and in any case according to the organisers’ instructions, no vehicle may access the halls or go beyond the parking area. During set-up (18 March, afternoon), cars are not allowed near the halls. Only vans used for unloading may access. Vehicles parked in unauthorised areas will be removed immediately.
The parking pass can be requested by filling in the dedicated form (stating exhibitor name and number plate). It must be shown at the entrance and left clearly visible on the vehicle’s dashboard. Each exhibitor is entitled to a number of car passes proportional to the square metres of the stand purchased.
Setup & dismantling
During set-up hours, access is always and only through Gate N (Via F. Rismondo). Cars may not approach the halls. Vans and heavy vehicles may approach the halls for the time needed to unload. On Show days, exhibitors may enter through the main gate on Via Tommaseo (pedestrians only) by showing their pass or, for those entitled to a parking space (while spaces last), through GATE N (Via F. Rismondo) by showing their car pass.
INDOOR: all set-up elements brought into the halls by exhibitors must have Class 1 fire certification, and electrical equipment must comply with its technical data sheet and carry the CE mark.
If you wish to add posters or similar to the walls of your stand, drilling into the walls is not allowed. Please use removable materials.
OUTDOOR: exhibitors will be shown their assigned areas and provided with an electrical connection with 1 standard socket (different requirements must reach the organisers no later than 5 March and will be assessed and quoted).
All stands must be secured and ballasted against wind. For each stand, the following certifications must be submitted by the opening date of the event: correct assembly and calculation report on stability and wind resistance, Class 1 fire-retardant certificate.
The organiser is in no way liable for damage to property or persons resulting from failure to comply with these instructions or, more generally, from the exhibitors’ actions. The organiser may at any time request the removal of structures (gazebos, tents, inflatables…) that do not match the agreed maximum dimensions and the required safety standards.
We ask to receive the project or an image of the structure to be installed by 25 February 2027 at the latest.
SETUP
INDOOR: Thursday 18, from 14:00 to 18:00; Friday 19 from 08:00, and stands must be ready by 10:00. NOTE: on Thursday 18 in the afternoon all pre-fitted stands will be ready but not necessarily fully equipped. In particular, we cannot guarantee that graphics and any requested accessories (e.g. furniture, screens…) will already be installed; these will in any case be in place before the event opens.
The EVENTS AREA is reserved for event organisers. Set-up will be possible from Saturday 20 March at 9:00 and the space must be cleared by 19:00 on Sunday 21 March. Exhibitors in the Events Area (indoor) may bring postcards, information material, posters and graphics to customise the backdrop of their space, as well as their own portable devices (power will be available). We also recommend bringing, if needed, scissors, clear tape, cable ties, fixing accessories, clips and wire. Vehicles are not allowed in any way inside the Show grounds or alongside the halls.
FRAME BUILDERS AREA: set-up will be possible from Saturday 20 March at 9:00 and the space must be cleared by 19:00 on Sunday 21 March. The space will be pre-fitted and include a platform for displaying one bike. Exhibitors are responsible for bringing a stand for the bike on display, if needed. Power is not guaranteed at the station.
OUTDOOR: from Thursday 18, from 09:00 to 18:00; on Friday 19 exhibitors may enter from 08:00, and stands must be ready by 10:00. On Thursday 18, outdoor exhibitors only may drive their own vehicle up to their assigned area. Stopping is allowed for unloading only.
DISMANTLING
Exhibitors must remove their materials from the stands between 17:00 and 19:00 on 21 March 2026. Stands must be cleared of all materials brought by exhibitors. Any material left in the exhibition spaces will be removed and disposed of, with the related costs charged to the exhibitor. Outdoor exhibitors may also dismantle their structures on Monday 22 March from 09:00 to 13:00.
By the dismantling deadline, exhibitors must return the exhibition area in the same condition it was in when they took it over, including removing all paper and/or promotional materials. In the event that materials of any kind are left behind (wood, carpet, paper, etc.), Bikenomist will clean the area and dispose of the waste, charging the exhibitor for these services based on the current rates of authorised landfills for each type of waste.
Sales / Supply in the stand
For sales or food and drink service at their stand, each operator must submit the SCIA (certified notice of start of activity) for temporary sales and/or food and drink service through the “Impresa in un giorno” portal, referring to the event they are taking part in.

payment
The deadline for paying the balance of the participation fee is 28 February 2027. Anyone who has not yet paid is kindly asked to do so as soon as possible, failing which they will be excluded from the event.
